Does HelpGetSponsors give me sponsor leads and contact information?
HelpGetSponsors does not provide leads or contact information. Our tools allow you to easily save sponsor prospects into your database and automatically insert them into proposals, agreements and activation calendars.
Am I locked into a contract when I join?
Nope! We offer monthly packages that allow you to cancel your subscription at any time. If you’re interested in saving money (who isn’t?!), you can pay for your subscription annually.
What legalese is provided in the agreement tool?
We include basic legal terms but encourage you to customize this area for your protection.

Simply log into your account and select “Cancel” from the “Edit Account” menu. Your subscription will immediately be cancelled and you will only be billed for the remainder of your term. Updating Your Contact Information
Entering your contact information is an important first step and here’s why: the information you enter in will be displayed when you send proposals and agreements, so the more accurate information you enter, the more professional your proposals and agreements will look!
Is my Billing Information used as my Contact Information?
Billing Information is shown in your Account, but it is not automatically used for your Contact Details as your account might be setup by an Administrator and not the person who will be making Sponsorship Sales. To make HelpGetSponsors.com the most effective tool for your sponsorship sales efforts, you will need to update your Contact Information before you begin sending Proposals and Agreements so the proper information is displayed.
Does HelpGetSponsors.com provide me with Prospective Sponsor contact information?
Unfortunately, no. What we do provide you with is a CRM (Customer Relationship Management) tool that allows you to categorize and store all of your prospective sponsors in one place. Once you’ve identified a prospect that you’d like to send a proposal to, just add them to your contact database and their information will be automatically placed into proposals and agreements.
Does HelpGetSponsors.com sell sponsorships for me?
While we’d love to sell sponsorships for every event out there, we can’t. What we’ve built is a software that has the same tools that we have used to sell and manage sponsorships for over a decade!
The plans available on HelpGetSponsors.com are based on the number of events that you have. All of our tools are available for every plan we offer, because it doesn’t matter if you’re one event or one hundred events: you need all HelpGetSponsors.com’s tools to effectively sell and manage your sponsorship sales.
We’ve made the process of adding and managing prospective sponsors painless: all you have to do is enter some brief information about your prospect and pick what type of business category they are in. The information that you enter will be displayed when you send the prospective sponsor a proposal, so make sure you enter everything in correctly!
Why do I have to choose a Category?
The categories that HelpGetSponsors.com allows you to pick from are the top spending categories in the event sponsorship world. By picking a category, you can track your sales activity and make sure that you casting a wide net when sending out proposals.
What information do I need to know about my event?
The HelpGetSponsors.com team has identified 5 key areas that prospective sponsors want to know about: the Overview, Demographics, a Sponsorship Summary, Venue Information, and the Community and Charitable Benefits that the event has. The information in these sections are the first thing a prospective sponsor sees when you send them a Proposal created with HelpGetSponsors.com.
Demographics are the traits of the participants and attendees of your events. Prospective Sponsors are interested in knowing things like: age, sex, geography, household income and education levels (just to name a few!).
What if my event doesn’t have a Charitable Partner?
That’s ok, not all events do! Instead, just talk about the positive effects that your events have on the community!
How does HelpGetSponsors.com formulate pricing?
We base our pricing on industry standards used in the sponsorship world, and we are constantly updating to stay current with fair market value. HelpGetSponsors.com strives to provide the most accurate pricing tools for our customers!
What is Estimated Number of Participants?
This is the number of people that pay to participate in your event. If you have a first year event, use the number of how many tickets/registrations you plan to sell. If the event has happened more than once, it is important to factor in the growth you expect to see (Prospective Sponsors love to see that your events have grown!).
What is Estimated Total Reach?
Estimated Total Reach means the total number of participants, spectators, volunteers and production crewmembers, that will all be at your event on the day it occurs. It is important to remember that this number DOES NOT include the estimated number of people who will become aware of your events through marketing and advertising.
I don’t see a Sponsorship Option that I have available for my event, what do I do?
If there’s a Sponsorship Option that you offer for your events and we don’t have it listed in the HelpGetSponsors.com software, email email@example.com and our tech team will work as quickly as they can to get it integrated into the software.
Why am I picking Sponsorship Options for my events?
When you select the different Sponsorship Options that your events offer, what you pick will be available when creating customizable proposals for your Prospective Sponsors.
If you have created an event and added a prospective sponsor, you can create a Proposal in HelpGetSponsors.com with a few clicks! Just start by clicking the + button at the top of your dashboard, and select “Create a Proposal”. From there, you’ll be asked to select which Prospective Sponsor and Event you want to create the proposal for, and just click the “Build Proposal” button.
What if I want to adjust the pricing for a Proposal?
When selecting the Sponsorship Options for your Prospective Sponsor, each item you pick has the ability to be adjusted. All you have to do is enter in the amount you want, and the calculator located in the bottom right corner will update accordingly! Make sure you don’t adjust prices too high or too low, you don’t want to leave sponsorship dollars on the table!
Can I send a Proposal through HelpGetSponsors.com?
Once you’ve selected and saved the Sponsorship Options for a Prospective Sponsor, just click the View/Send Proposal button to preview the PDF that will be sent with a pre-written email from the HelpGetSponsors.com system. Once you click Send, a copy of the Proposal will be sent to your Prospective Sponsor, and a copy will be sent to the email address associated with your account.
Can I download a Proposal and send it with my own email?
Yes! Once you’ve selected and saved the Sponsorship Options for a Prospective Sponsor, just click the download button and the PDF will automatically begin downloading. When it has finished downloading, just open up a new email message in your email provider and add the PDF as an attachment. Add your own personal message and send away!
What do I do after I’ve sent a Proposal?
After a Proposal is sent through the HelpGetSponsors.com system, the status of the proposal will update to Sent. If you have downloaded the Proposal and sent it with your own email, you can manually change the status of the proposal to Sent to make sure you are staying on top of your Sales Pipeline. It is important to maintain contact with your Prospective Sponsor once the proposal is sent in order to manage the sales cycle more effectively and close the deal faster!
How do I Generate an Agreement?
When you mark a Proposal as “Approved,” the HelpGetSponsors.com software will prompt you to build an agreement. Just click the “Build Agreement” button and you’re ready to create an Agreement between you and your new Sponsor!
Can I use my own Terms & Conditions and Legal Disclaimer?
Yes! Just click the edit button and then you can copy and paste your own versions into your Agreement on HelpGetSponsors.com. After you click save, your Agreement will be updated with your own Terms & Conditions and Legal Disclaimer.
Can I send an Agreement through HelpGetSponsors.com?
When you’re ready to send an Agreement to your Sponsor, just click the View/Send Agreement button to preview the PDF that will be sent with a pre-written email from the HelpGetSponsors.com system. What is an Activation Calendar?
We like to think of Activation Calendars as a shared “to-do” list between you and your sponsor. Most of the sponsorship options that they have agreed to pay for require some extra work and sticking to critical deadlines. By creating an Activation Calendar, you make sure that you let the sponsor know when you need something from them by, and that they get it to you when you need it by. Activation Calendars create mutual responsibility between the event and the sponsor.
How do I Activate an Agreement?
When an Agreement is marked as Approved or Paid, HelpGetSponsors.com prompts you to create an Activation Calendar by clicking the “Activate Agreement” button.
Why should I Activate an Agreement?
Creating an Activation Calendar with due dates and notes attached to each sponsorship item is a helpful step to ensure that the sponsor gets what they paid for, you get what you need from the sponsor, and that the sponsorship is a success for the event. If the sponsorship is a success for everyone, you increase your chances of renewing that deal for your next event.
